Rocky Ridge Functions & Events Terms

1. When these terms apply

These terms apply to any booking for which Rocky Ridge issues a Quote.

If we have not issued a Quote, your booking is a standard reservation governed by the Rocky Ridge Terms & Conditions. Where these terms conflict with the Rocky Ridge Terms & Conditions, these terms prevail.

2. Booking tiers

Standard reservation. Groups up to 20, no area held, no deposit. Governed by our general Terms & Conditions, not this document.

Large Group Booking. 20 or more guests. Tables reserved within a shared area of the venue, prepaid bar credit, no minimum spend.

Exclusive Use. A designated area held for your group only, subject to a minimum guest count for that area and a per-person beverage package.

We do not charge venue hire. Areas are secured through minimum guest counts and packages and bar tab deposit,not a hire fee.

3. Reserved tables are not exclusive use

For a Large Group Booking we reserve tables for your confirmed number of guests within a shared area of the venue. Other patrons may be present in the same area. The location and layout of reserved tables is determined by the venue.

Exclusive use of a space applies only where your Quote says so.

4. Quotes

Quotes are valid for 30 days unless stated otherwise. All amounts include GST.

The prices in your Quote are held for your booking and are not affected by later changes to our rate card.

5. Deposit and confirmation

A deposit is payable as specified in your Quote. No tables or areas are held until the deposit is received.

Payment of the deposit confirms that you have read and accept these terms on behalf of your group.

6. Prepaid bar credit (Large Group Bookings)

Large Group Bookings run on prepaid bar credit. We do not offer bar tabs on credit.

Your deposit is applied as the opening balance of your bar credit on the day. You may top up at any time during your booking. Once the credit is used, guests may continue to purchase individually.

We will let you know when your balance is running low.

Unused top-up credit is refunded after your booking. The deposit portion is not refunded once inside the notice periods in clause 9.

7. Minimum guest counts and packages (Exclusive Use)

Exclusive use of an area is subject to a minimum guest count for that area, set out in your Quote, and is sold as a per-person beverage package.

If your numbers drop, your package is adjusted down to the minimum guest count for that area and no lower. Where your final numbers fall below the minimum, you are charged for the minimum.

Food packages are in addition to your beverage package and are available at selected venues. A la carte food remains available to your guests at every venue.

8. Final numbers and menu

Final guest numbers, menu selections and dietary requirements are due 7 days before your booking. Numbers confirmed at this point are final and are used for staffing, ordering and catering.

Additional guests after this point may be accepted subject to kitchen and venue availability, and are charged at the applicable per-person rate.

9. Cancellations and reductions

All cancellations must be in writing.

Reductions in guest numbers. For Exclusive Use bookings, clause 7 applies. For Large Group Bookings, reductions made more than 48 hours before your booking reduce your prepaid credit accordingly; reductions made inside 48 hours do not.

Requests outside these terms are considered case by case at our discretion. Approval is not guaranteed.

10. Your responsibilities

You must nominate one organiser, aged 18 or over, who has authority to accept these terms on behalf of your group and who will be present for the booking.

The organiser is responsible for:

  • the conduct and behaviour of all guests
  • guest safety and appropriate use of venue facilities
  • leaving the venue clean and undamaged
  • removing decorations and hired equipment at the end of the booking
  • the cost of any damage, breakage or loss of venue property
  • the cost of excessive cleaning

We may charge the payment method used for your deposit for damage or excessive cleaning. A minimum charge of $150 applies to glitter, confetti, balloon debris or similar.

11. Decorations, outside food and external suppliers

Decorations are welcome. Confetti, glitter, balloon debris and open-flame candles are not permitted. Nothing may be affixed to walls, ceilings or fixtures without our approval.

Outside food and beverage is not permitted. Celebration cakes are the exception and must be arranged in advance and labelled on arrival.

External suppliers, including entertainers, photographers and equipment hire, require our written approval before your booking and must hold their own public liability insurance.

12. Responsible service of alcohol

Rocky Ridge practises Responsible Service of Alcohol in accordance with Western Australian law. We may refuse service to any person who appears intoxicated or behaves in a disorderly, aggressive or inappropriate manner, and may require guests to leave the premises.

Prepaid packages, credit or costs relating to guests refused service or removed from the venue are not refunded.

Spirits are not served in the final hour of any function.

13. Guests under 18

Guests under 18 are permitted only in the company of a responsible adult, as defined under the Liquor Control Act 1988 (WA), and must not consume alcohol on the premises.

Conditions vary between our venues. Tell us at the time of booking if your group includes guests under 18 so we can confirm what applies at your venue.

Valid photo identification is required. We may refuse entry or service where identification cannot be provided.

14. Allergens and dietary requirements

Our kitchens handle wheat, soy, dairy, nuts, shellfish, eggs and other allergens. We take reasonable care with dietary requirements advised in advance, but we cannot guarantee the absence of trace allergens and we do not operate an allergen-free environment.

Guests within a party with severe allergies need to be explicitly mentioned when pre ordering food and packages and  should speak to our staff on arrival.

15. Menus, availability and capacity

Menus are based on seasonal availability. We may substitute ingredients or items where necessary, and will notify you and offer alternatives.

Our beers include limited and seasonal releases. We cannot guarantee availability of a specific product on the day of your booking.

All bookings are subject to licensed venue capacity.

16. Venue access, relocation and weather

Tables and areas are held for the booking period set out in your Quote. Changes to start time, finish time or duration must be approved in advance and are subject to availability.

Where an area becomes unavailable or unsuitable, we may relocate your booking to a comparable area within the venue. Relocation is not a cancellation and does not give rise to a refund.

Where any part of your reserved area is outdoors, we will provide a comparable indoor or covered alternative in adverse weather where one is available.

17. If we cannot proceed

We are not liable for delays or failures caused by events beyond our reasonable control, including extreme weather, supplier failure, government restriction, public health orders, power failure, fire, flood or loss of licence.

Where a booking cannot proceed for these reasons, or where we are otherwise unable to accommodate it, we will offer you a transfer to another date, a credit, or a refund of amounts paid.

18. Liability

To the extent permitted by law, our total liability in connection with your booking is limited to the amount you have paid us for it. We are not liable for indirect or consequential loss, or for personal property brought to or left at the venue.

Nothing in these terms excludes, restricts or modifies any right you have under the Australian Consumer Law.

19. Privacy

We collect the details you provide, including dietary requirements, to plan and deliver your booking. Dietary and allergy information is handled as health information. See our Privacy Policy.

20. Terms in force

The terms that apply to your booking are those provided with your Booking Confirmation. Later changes to these terms do not apply to bookings already confirmed.

21. General

These terms are governed by the laws of Western Australia.

If any part of these terms is found to be unenforceable, the remainder continues to apply.

You may not transfer your booking to another party without our written approval.
